PRIVACY POLICY

The British Motorcycle Charitable Trust (the BMCT) respects your privacy and we will only use your information in the way we describe in this notice. When using your information, we aim to be fair and transparent, and to follow our obligations under UK data protection laws. Your information is used for administering BMCT membership, activities and communications.

The BMCT is the data controller for the purpose of General Data Protection Regulation (GDPR) and the Data Protection Act 2018. The BMCT contact for privacy and data is the Membership Secretary, who can be contacted by email on info@bmct.org or by letter at the above address.


Collecting your information.
We collect your information when you fill in your membership application or membership renewal forms and when making application for a grant. You can give us your information using paper forms or in some form of electronic medium via our website. The information you give us may include your contact details (name, address, telephone number, email address), personal information and identifiers such as membership number.


Storage of Information
The data you provide us with on your membership application form is transferred to a password protected electronic database and your paper application form is then retained for the duration of your membership and then destroyed. Updates on your information are transferred directly onto the database.

If your annual membership of BMCT is not renewed through non-payment of the renewal subscription, then your data will be retained for twelve months to facilitate re-joining. When no longer required your data is destroyed securely and permanently.


Using your information
We use your information when you first apply to become an Associate member of the BMCT and then to administer and renew your membership as well as provide you with member services like the quarterly BMCT newsletter. This falls under the 'legitimate interests' basis for processing your information under the GDPR.

We feature a new member list in the BMCT Quarterly newsletter where your name and county of residence will be published if you have consented to this when you applied to join.

In addition, and only if you have given explicit consent, we might use your information to send you other communications which we think may be of interest to you and to send you reminders after your membership has ended. You can withdraw consent to this at any time.


Sharing your information
We will not give or sell your information to another organisation.
We may share your information with our service providers, for example our quarterly BMCT Newsletter mailing service provider and the membership card printers.

We require any third party to which we may send your contact details for providing us with services to satisfy us that your data will be held securely and used only for the purposes we have authorised.


Our website
When you use our BMCT website we do not collect information about you, for example your IP (Internet Protocol) address, by using cookies. The website might contain links to other websites such as online entry and payment sites, partners, and advertisers. If you follow links to other websites, please review the privacy policy for each site because we are not responsible for information you share on those sites.


Social media
We use social media such as Facebook and Twitter, to broadcast messages about our news and relevant events. Although this policy covers how we will use any data collected from those pages it does not cover how the providers of social media websites will use your information. Please ensure you read the privacy policy of the social media website before sharing data and make use of the privacy settings and reporting mechanisms to control how your data is used.


Security for your information
Your information is held securely by us. We have taken all reasonable steps and have in place appropriate security measures to protect your information.


Your rights
Either by letter to the BMCT Registered address or by email to the BMCT Membership secretary as detailed above.

 You are entitled to a copy of the information we hold about you, and to ask us to correct any inaccuracies. We will respond to you within 28 days of receiving your request.

 You may ask us to stop using your information, and to delete it. If you ask us to do this, we will not be able to continue to provide membership services to you.

 If you have consented for us to send you other information that we think may be of interest to you, you can withdraw that consent at any time.

 You may make a complaint to the Information Commissioner (www.ico.org.uk).
